SpotCheck App – Navigation and Module Overview

To effectively use the Mwingi SpotCheck App, it is important to understand its main sections and their specific purposes. The app is structured into four core modules:

  • Items
  • Spot Check Logs
  • Shrinkage
  • Send Receipts

Each section plays a critical role in ensuring accurate stock counting and inventory reconciliation.

Items

The Items page displays a list of all products expected to be counted during the stock-checking process.

  • If an expected item is missing from the list, the user must immediately notify the Field Retail Officer (FRO) to ensure all required products are available for counting.
  • Occasionally, after login, some items may fail to load. In such cases, the FRO must resend the item list to the app.

Spot check logs

This section provides a historical log of completed spot checks, along with their status indicators.

Each item in the log is marked as either:

  • OK – Indicates that the counted quantity matches the system-recorded stock.
  • Shrinkage – Indicates that the counted quantity is less than the expected system stock.

If shrinkage is detected, the user is responsible for clearing the discrepancy.

Any additional anomalies such as excess stock or counting errors will be noted by the FRO and communicated accordingly.

Shrinkage

This section lists items identified with missing stock after the counting process.

  • At the start of a counting session, this page will be empty.
  • After discrepancies are identified, affected items will appear here with details of the missing stock.
  • This section provides visibility into unresolved shrinkage before clearance.

Send Receipts

This section is used to clear shrinkages by submitting a shrinkage clearance receipt.

  • The page will become active only after shrinkage has been recorded.
  • Users are required to input the official shrinkage clearance receipt number to proceed with the clearance.
  • Ensure that the receipt number has already been posted in the system before entering it.
  • If the receipt number is incorrect or not yet posted, the shrinkage clearance will fail.
